From existing inquiry
to approved appointment.
Managed appointment booking for residential HVAC replacement estimates and scheduled, non-emergency plumbing requests.
Discuss your workflowA booking process
you can stand behind.
A promising inquiry still needs details, eligibility checks, an available slot, and a clear yes from the customer.
HMD Systems helps manage those steps using workflows approved by your business. This service works with existing inquiries. It does not include advertising, ad spend, or a promise of new leads.
What’s included.
The exact sources, tools, and rules are confirmed in your scope.
Inquiry capture
Agreed sources, intake fields, and a defined place for requests to enter.
Approved qualification
Questions and eligibility rules based on the services you accept.
Verified availability
Calendar access and booking rules checked before slots are offered.
Human takeover
Exceptions sent to an agreed staff contact, with context and a pause in automated handling.
Bounded follow-up
Timing, stop conditions, and contact permissions agreed before launch.
Outcome reporting
Track inquiry status, accepted bookings, and staff referrals without calling every appointment a sale.
What counts as
a qualified booking?
All of these conditions need to be met. A request in a queue is not a booking.
- The customer explicitly accepts the appointment.
- The service and service area meet approved rules.
- Contact details are usable.
- Calendar availability is verified.
- The booking is not a duplicate or spam request.
- Any applicable visit fees are disclosed through the approved workflow.
Your team remains
part of the process.
Your business supplies approved service information, qualification rules, calendar access, any applicable visit fees, follow-up permissions, and a staff escalation contact.
We agree on who monitors exceptions and when. If a request falls outside the approved path, staff decide what happens next. Tool access and integration availability are assessed before launch.
What’s outside the initial service
New demand generation, advertising spend, equipment diagnosis, autonomous emergency dispatch, and guaranteed appointments or completed jobs. Urgent or unclear requests follow the agreed escalation path, not an invented answer.
A booking is not
the same as a sold job.
Each stage is tracked separately. Later outcomes depend on attendance, quoting, and your sales process.
- BookedAppointment accepted.
- AttendedVisit took place.
- QuotedYour business issued a quote.
- SoldThe customer bought the work.
Reporting covers the data and stages your tools can support. Appointments are not guaranteed completed jobs.
